Everything you need to know before booking. If anything here isn't clear, just ask us before you confirm your appointment.

Booking & Cancellation

Do I need to pay anything to book an appointment?

Yes. A booking fee is taken at the time you reserve your appointment. This secures your slot with our specialist and reflects the time reserved exclusively for you.

What is your cancellation policy?

We ask for advance notice so we can offer your slot to someone else:

  • Face-to-face appointments: at least 48 hours' notice
  • Online / phone / video appointments: at least 24 hours' notice

Cancellations or rescheduling requests made within these windows are accepted with no charge.

What happens if I cancel late or don't show up?

If you cancel after the deadline above, or don't attend your appointment, your booking fee is forfeited and the reserved consultation is treated as used. This applies equally to first appointments and follow-ups, and helps us keep appointments genuinely available for other patients.

Can I reschedule instead of cancelling?

Yes — if you let us know within the notice periods above, we're happy to move your appointment to another time at no extra cost.

Payments & Refunds

How do you process payments, and is my card safe?

All payments are processed through Square, a PCI-DSS compliant payment provider used by clinics and businesses worldwide. Your card details are encrypted and are never stored on our own systems — Square handles this to banking-grade security standards.

Are refunds available?

If we cancel or are unable to provide your appointment, you'll receive a full refund or a credit toward a future booking, your choice.

If you cancel within our notice period (see above), your booking fee is refunded in full.

Late cancellations, no-shows, or services already carried out (blood draw completed, consultation delivered) are non-refundable.

Do add-on services follow the same policy?

Yes — add-ons booked alongside or in addition to a Health Check follow the same booking, cancellation and refund terms as the main appointment.

Your Data & Privacy

What happens to my personal information when I book?

By providing your contact and health details to book an appointment, you consent to us storing this information in our secure patient database. We use it only to manage your care, appointments and communications with you.

Is my data protected?

Yes. We handle all personal and medical data in line with UK data protection law (UK GDPR). In practice, this means:

  • Your data is stored securely and access is limited to the clinical and admin staff who need it to care for you
  • We never sell your data, and we don't share it with third parties for marketing purposes
  • Medical results and history are treated as confidential clinical records
  • You can ask us at any time what we hold about you, request a copy, or ask us to correct or delete it
Who sees my results?

Only the specialist and clinical staff directly involved in interpreting your results and delivering your consultation. Lab partners receive only what's needed to process your sample.

Medical Safety & Disclosure

Do I need to tell you about medications or health conditions I have?

Yes — this is required, not optional. Before any consultation or treatment, you must fully and accurately declare any medications you're taking, allergies, and existing medical conditions (including pregnancy, where relevant). This is essential for your safety: undisclosed conditions or medications can lead to unwanted interactions or effects. We reserve the right to decline or pause treatment if this information is incomplete.

Is Intravenous Nutrition a substitute for medical treatment?

No. Intravenous Nutrition is a wellness and nutritional support service — it is not a substitute, replacement, or alternative for any medical treatment, prescribed medication, or advice from your doctor. It does not diagnose, treat, cure or prevent any disease. If you have a diagnosed medical condition, continue to follow your doctor's or specialist's treatment plan; our service is designed to complement, not replace, that care.

What if I have a medical emergency?

Our services are not designed for emergencies. If you are experiencing a medical emergency, please call 999 (or your local emergency number) or go to your nearest A&E immediately.

In short: tell us everything, honestly and in advance — it's how we keep every appointment safe. Our team is here to guide you, and being upfront about your health means we can do that properly.

These policies apply to all Health Check packages and add-on services booked with The Body Regeneration, online or in person.
